Use one approved brand file and a separate record for each location. Identify the words that stay the same, the details that change and the person who approves each version before production.
Keep the shared logo and brand wording in a master folder. Put addresses, dates and location-specific messages in clearly named versions. Avoid a file called final when several branches have different final versions.
Make approval visible for each branch
Use a simple register with location, file name, revision date and approver. Ask the supplier to identify the quoted artwork version for each item. Flag any branch still waiting for property or product review.
Keep delivery records distinct from artwork records
A billing address may differ from a receiving address. Confirm the recipient and receiving arrangements for each location independently. Ask the supplier to acknowledge how the approved artwork and delivery destinations correspond.
